Bookkeeping FAQ

Small business bookkeeping questions, answered.

Plain answers about monthly bookkeeping, catch-up work, software, pricing, and what changes once your books are balanced.

Bookkeeping is the system that turns a stack of bank statements, receipts, and invoices into numbers you can actually make decisions with. For a small business owner, that means knowing what you earned, what you spent, what you owe in taxes, and whether there is enough cash to cover the next payroll, rent payment, or slow season. Done well, it happens every month, on a schedule you can plan around, with reports you can read in ten minutes.

Every kind of business has its own rhythm. A real estate agent needs commission income tracked deal by deal, with marketing, mileage, and closing costs matched to the right transaction. A daycare owner is balancing tuition, subsidy payments, food program reimbursements, staff wages, and licensing costs, often across dozens of families. A contractor or online seller has subcontractors, inventory, and 1099 thresholds to watch. Software can record those transactions, but someone still has to categorize them correctly, reconcile the accounts, and explain what the numbers mean.

Most owners come to us at one of two moments. Some are starting fresh and want a clean foundation from month one. Others arrive with books that are six, twelve, or twenty-four months behind, with unresolved bank feeds and a tax deadline approaching. Catch-up work is routine here, and it is usually measured in weeks rather than months.

We work in QuickBooks Online as certified QuickBooks Online ProAdvisors, reconcile every account monthly, close each month on a consistent schedule, and deliver a profit and loss statement, a balance sheet, and a cash flow view you can compare month over month. You get a bookkeeper reading your numbers, not an algorithm guessing at categories.

The questions below are the ones we hear most often from small business owners, real estate professionals, and daycare providers. If yours is not here, ask it directly and we will answer it.

Software & Process

What does a virtual bookkeeper do each month?

A monthly close that reconciles every account, categorizes each transaction, and ends with reports you can read.

Each month we import and categorize every transaction, reconcile each bank, credit card, and loan account to its statement, reconcile payment platforms, and review anything that looks out of place before closing the month. You receive a profit and loss statement, a balance sheet, and a cash flow view, plus a plain-language summary of what moved and why. Your books stay current instead of piling up.

Pricing

How much does monthly bookkeeping cost?

Pricing is based on transaction volume, the number of accounts, and reporting needs, not a flat rate.

There is no single price for bookkeeping, because no two businesses generate the same volume of transactions or accounts. We quote after seeing how many accounts you use, roughly how many transactions run each month, whether payroll or sales tax is involved, and how often you want reporting. Every engagement starts with a free consultation, so you know the monthly figure before you commit.

Cleanup & Catch-Up

My books are months behind. Can you catch them up?

Catch-up work is routine here and usually measured in weeks, not months.

Yes. Catch-up and cleanup are two of our most requested services. We start by assessing how far behind the records are, then rebuild them month by month: restoring bank feeds, categorizing historical transactions, reconciling each account, and correcting misclassified expenses. Most backlogged books are current within a few weeks, and we coordinate with your tax preparer so the filing deadline is covered.

Software & Process

Which accounting software do you use?

QuickBooks Online is our core platform, with supporting apps for receipts and invoicing.

We work in QuickBooks Online as certified QuickBooks Online ProAdvisors, and we set up the chart of accounts, classes, and tracking categories to match how your business actually operates. If you already use another system, we discuss migration before starting. Supporting tools handle receipt capture, invoicing, and payment syncing, so nothing depends on a shoebox of paper.

Real Estate

Do you bookkeep for real estate agents?

Commission income, deal-level expenses, and mileage tracked so each closing shows its true profit.

Real estate is one of our specialties. We track commission income by transaction, match marketing, photography, staging, mileage, and closing costs to the deals they belong to, and separate personal spending from business spending. That gives agents a clear view of which deals and which lead sources actually made money, and it makes quarterly estimated taxes far less painful.

Daycare

Do you work with daycare and childcare providers?

Tuition, subsidy payments, food program reimbursements, and staff costs kept straight.

Yes, and childcare has accounting quirks we handle routinely: tuition billing across many families, state subsidy and voucher payments, food program reimbursements, staff wages and payroll taxes, licensing and insurance costs, and the expense categories that qualify for credits specific to providers. You get monthly reporting that shows real enrollment profitability rather than just a bank balance.

Getting Started

How do I get started, and what do you need from me?

A free consultation, secure read-only access, and about thirty minutes of your time.

Start with a free consultation so we can review where your books stand and what you need. From there you grant secure read-only access to your accounts and accounting file, answer a short onboarding questionnaire, and we take it from the first month. Most clients spend about thirty minutes on setup and then only a few minutes a month answering questions.

Can you also help with notary needs?

Mobile and remote online notarization for business and personal documents.

Yes. Alongside bookkeeping we provide mobile notary service in the area and remote online notarization for clients who are anywhere. That covers contracts, affidavits, powers of attorney, real estate closings, and general business documents, scheduled around your timeline rather than a branch's opening hours.
